Assigning Documents

As a web admin, you have some different options available to assign documents to your employees for review and sign-off. Documents can be assigned for completion on the web and/or mobile devices.


If your users will be mostly on mobile devices, navigate to Administration - Settings, and under the General Settings, turn on the "Send assigned documents to mobile device". This will ensure all documents assigned anywhere in the system will be synced to the mobile devices.


Assigning documents when uploading

In the Administration tab, Documents - when you click on the upload button. You will need to select your files.

Here you can attach the file(s) to a group(s) or to a specific user(s). This will assign the files to the selected users for review and sign-off.


The files will be found in the user's "Requiring My Attention" page for completion and if you have the company setting on, the files will be sent directly to the mobile devices.


Assigning documents from the document library

In the Administration tab, Document Library you can assign individual documents to people or groups or use the mass management tool.


Clicking on the People or Tag icon, allows you to view all assignments and by clicking the Assign Document or Attach Group button will allow you to add assignments to the appropriate people.


Selecting multiple documents will activate the mass management and can be accessed by clicking Selected Files on the bottom of the screen. Here you will be able to select specific users or groups to assign the document to.


The files will be found in the user's "Requiring My Attention" page for completion and if you have the company setting on, the files will be sent directly to the mobile devices when you click Confirm.


Note: Attaching Documents to Groups via the Administration, User works the same way - See Bulk Assignment.


Assigning Documents to Mobile Devices


In the Administration Tab, Documents, Assigned Documents you can individually select documents to sync to the mobile devices.


Select the documents you wish to send to the user's mobile device, then click the "Selected Documents" on the bottom of the screen. Review your selected documents and then click "Sync to Mobile Device"


The user will now have a red icon on the Documents tab on their mobile device. If they click on Document and then View Previous, they will see documents with the "To Do" status.


Assigning Documents for future/regular review

Documents can be assigned to users using Scheduler.
